enVision Math/Pearson SucccessNet

This page shows the steps involved for setting up and maintaining the enVision Math/Pearson Successnet logins for teachers and students to avoid duplicate usernames, provide consistency for teachers and students and allow the student logins to remain useful from year to year.

 

 


 

Preparation

  1. Make sure you have access to the Pearson SuccessNet login page.  Click Here.

  2. Login to Aeries.
  3. Export/Save as File a query that includes student information for all grades that you'd like from Aeries.  It doesn't matter what order these are exported in, but it does make it easier if they are the order below.  You need the following fields:
    • Student First Name
    • Student Last Name
    • Student ID (the short one- 5 numbers, not the permanent #)
    • Grade
    • Gender
    • Teacher Name
  4. Decide on the "login username" format.  These will be generated automatically from the exported/saved information from Aeries. There is an example table based on the recommendations below.  SuccessNet/enVision Math is hosted by Pearson for all California schools on the same server.  No two users can have the same login username across all users in California.  It is necessary to separate yourself from others that might have a similar username.  Our recommendation is a prefix for the school with first name initial followed by the last name. You'll have to make adjustments for siblings or students with the same username (Sally Jones and Sam Jones - we spell out one of the names, usually the younger sibling), hypenated names (we remove the hyphen), and double last names (we choose one), .  You'll need this information later when you prepare the teacher accounts and the import files for classes in "Preparing the Roster" section.
    • Usernames:  Be consistent as possible between multiple software logins (SuccessNet, Renaissance Place, SF Digital Path) and can be easily remembered and used from year to year, i.e., do not use teacher names as part of student logins, room # or student/cubby number from this year as this changes from year to year.
      • Students: Use firstinitallastname (all lowercase)
      • Teachers: Aeires/District Emaill username
      • All usernames will then be generated as:  prefix_username, i.e., grant_jsmith  for John Smith at Grant School.  If you have a school like McNear you could use a shortened easy to remember prefix like mcn_username.  Grant just doesn't shorten well for students to remember.
    • Passwords
      • Students:  enVision math requires at least 6 characters/numbers.  We use the same password for all students, i.e. "go2math".  Other systems use a set of initials or usernames, but the problem is that some usernames are less than six characters.
      • Teachers:  a "generic" password that reminds them to change their password, i.e., "changeme1st".  Recommendation is to instruct teachers to change this after they've logged in the first time to the same password as their Aeries or District Email password.
  5. Move to "Setting Up Teacher Accounts" below or "Preparing Class Rosters".

Setting Up Teacher Accounts

You need to have decided a standard username and "generic" password format from step 4 in preparation before completing these steps.

All Teachers

  1. Using the access code provided on the purple booklet for a teacher's grade (see how to handle combo classes below), register each teacher using their Aeries/Email Username with the prefix.
  2. Use the "generic" password
  3. Security question and answer.  Set a generic one like "what is favorite subject" answer "math".
  4. Provide the rest of the information including their district email login, etc.
  5. You willl be prompted for the Products  (check all of them).  This list is based on the access code entered when registering.  It can be changed later.
  6. Once registered, login to test the account and logout again.
  7. Repeat for each teacher using the appropriate grade access code.
  8. If you have combo classe, see "Handing Combo Classes" before move on to "Preparing Class Rosters". 

 

Handing Combo Classes

  1. Choose one of the grades to register the teacher.
  2. After registering the teacher using the same steps as "All Teachers", login to the teacher account.
  3. Click on "My Account", then "Manage Products"
  4. Enter the other grade's access code, then select the products
  5. Logout.
  6. Repeat process for other combo classes.

Preparing Class Rosters

You need the exported/saved information form the Aeries query in step 3 of "Prepartion" section.  The field definitions required and provided in the sample are outlined here.  This section is broken into multiple parts.

 

Formatting the Aeries Output File

  1. Open the sample file in Excel.
  2. Open the file exported/saved from the Aeries query. 
    • File Open.
    • Select the Text File (it the query was saved to file)
    • Select "Delimited", then Next.
    • Check "Comma" under delimters, then Next
    • Select the "Grade" column and click in the "Text" radio button, then Finish.
  3. You should  have two files open in Excel.
  4. Order the columns according to the columns in the sample file.
  5. Insert a column heading row if needed and name the column headings to match the sample file headings.
  6. Add additional columns in the appropriate places similar to the sample file.  (Teacher will be the last column  It isn't used by SuccessNet, but it is usefull for making specific teacher rosters.)
  7. Click on the first row (column headings)  and select "Data/Filter/AutoFilter"
  8. Save the Aeries file in xls format but leave it open.

 

Converting Fields To SuccessNet Format

Converting "Grades" Column

  1. Convert the grade entries.  They must be "K", 01", "02", "03", "04", "05", "06".
    • Click on the Grade Column and change the "format" of the cells to text (Format/Cells/Number tab/Category:text).  (This step is only necessary if you didn't set this format type when opening the file in Excel.
    • Click on the little black arrow on the Grade heading column, select "0" for Kindergarten.  (The list should show only Kindergartners).
    • Type "K" in the first student entry and for the second student.
    • Select both cells with the "K" and drag the little black box in the lower corner to the last student shown.
    • Repeat for all grades (Aeries exports these as 0,1,2,3,4,5,6)
  2. Unselect any filters.
  3. Save the file, but leave open.

 

Setting Student Password and Password Confirmation Fields

  1. Type the "student" password in the first password cell for the first student.  Drag the cell down one row to ensure it remans the same.
  2. Set the password confirmation by clicking in the first students cell and type "=" and then clicking on the password cell for that student.  It should now have the exact same value.
  3. Now select the both the password and password confirmation cells and drag the little black box all the way down to the bottom of student list.
  4. Save your file, but leave open

 

Generating Usernames

Generating usernames uses an Excel formula.  The following formula creates the username similar to those in the example table above from student names.

CONCATENATE("grant_",LEFT(A2,1),LEFT(C2,LEN(C2)))

  1. Copy the forumla from above to the first student row in your excel file in the username cell.  Check the cell references.
  2. Edit the formula by changing the prefix "grant_" to your prefix and press enter.
  3. Review the results.  It should be "prefix_firstnameinitiallastname" all in lowercase, ie., grant_jsmith
  4. Select the cell and drag the cell down using the little black box in the right lower corner to the end of the list of students.
  5. Save the file, leave it open.

 

Spot Checking Usernames

Although we could write an infinitely more detailed formula that dealt with hypenated names, double last names and duplicate usernames, it is easier just to spot check the list.

  1. Scan the list for hypenated last names using either the username column or the last name column.
  2. Fix these by editiing the last concatenated item. For row 4 where john smith-jones has grant_jsmith-ones, you'd delete the LEFT(C4,LEN(C4), and type "smithjones" including the quotes.  Press enter.
  3. Scan for double last names in the same manner as hyphenated names and edit the same part of the formula (the second "LEFT" part) using only a single last name, typically the second one.  Don't forget to put quotes around the name in the forumula.
  4. Scan for duplicate usernames.  This is easiest by scanning the Last Name column for duplicates, then checking first name and username. 
  5. Fix duplicates by putting a full first name in the middle set of quotes in the forumula.
  6. Save your file, but leave open.
  7. You are now ready to create a class roster file for each teacher.  For combo classes, you'll create two files, one for each grade for the teacher.

 

Saving the File as Text

Single Grade Classes

You will repeat the following steps for each class/teacher.  You will do an extra step for combo classes.

  1. With the formatted Excel file open, filter by a teacher (don't choose a combo class). (Select the black arrow in the teacher column, then select the teacher name.)
  2. Copy the header row and all student rows
  3. Choose "Insert/Worksheet" from the menu bar.
  4. Paste the copied rows into the new worksheet
  5. Name the worksheet (Click on the bottom tab) with the teacher's name.
  6. Repeat for each non-combo class teacher for each grade

 

Combo Grade Classes

  1. With the formatted Excel file open, filter by a combo class teacher.
  2. Now filter again by one of the grades.
  3. Repeat steps 3-5 fro the Single Grade Classes section choosiing the name of the worksheet as the teacher' name and the grade.
  4. Filter again by the other grade and repeat step 3 above.  (You'll  have two worksheets for combo class teachers.)

 

Saving the File as Text.

  1. Select a worksheet
  2. Choose "File/Save As" from the Menu
  3. Type the file name as the teacher's name (and grade if it is a combo class)
  4. Choose the "Save as type" Text (tab delimited) (.txt).
  5. Click Save.
  6. Say Yes to keep the format
  7. Repeat steps 1-6 for each worksheet tab

 

Uploading Class Rosters

  1. Login as the teacher you previously registered.
  2. Click on "Go To Class/Group Management"
  3. Select "Create a Class/Group".  Enter the Name/Group.  Append the grade to the name for a combo class, for example D1-5  would be the class in D1 5th grade.
  4. Click the grade appropriate products and then Save.
  5. From the list of "classes", click "View Roster" for the class.
  6. Then select "Upload my roster"
  7. Browse to the appropriate file and click upload.
  8. It will identify the number of students.  The interface did not let me know when it had finished the upload  I just clicked on something else, then chose view Roster again.  I could then create a parent report.  This is a letter that can go home if teachers want parents to encourage logging in from home.  You don't need the list for giving to the teacher as you can use the worksheets in the excel file.
  9. Duplicates are identified.  You'll have to fix the worksheet then save the file as text again and reload (keep the worksheet as your master rather than changing the saved text files.  You can use these as the class login lists for the teachers.
  10. For a combo class, you'll need to create as many "classes/groups" and upload the roster for each grade.
  11. Logout

 

Teacher First Login

Print the worksheet page with student name/usernames, passwords for each teacher.

  1. Login with username and generic password.
  2. Click on "My Account"
  3. Edit "Profile"  Changing the following:
    • Password
    • Security question
    • Correct any other  infomation
  4. Save.
  5. They can then view their classes, make assignments, etc.
